FAQ
Common questions
Can I really use Ubimate without ever creating an account?
Yes. The desktop app runs fully on your device — no server, no account, no network required. You can install and use it entirely offline. An account is only required if you want multi-device sync or real-time collaboration.
How does zero-knowledge encryption work?
Your encryption keys are derived locally from your username and password. They never leave your device. When syncing to the cloud, your documents are encrypted before they leave your machine. The server stores only encrypted blobs and your public key — it has no way to read your content.
Is Ubimate a rich text outliner?
Yes. Ubimate works as a text outliner and a rich block editor at the same time: you can nest blocks, create hierarchical outlines, and collapse or expand sections while keeping full rich-text editing.
What are my privacy guarantees?
Ubimate is designed so we cannot access your readable content, even if we wanted to. Your content is encrypted locally before it leaves your device.
We are based in the European Union, where the GDPR sets the world’s gold standard for data protection. Users benefit from EU data-protection rights, including:

What happens if I forget my password?
If you forget your cloud password, you can reset it and start syncing again from your local device.
Your local data stays intact. Your notes and databases remain available on your device, and after resetting your password Ubimate can re-sync that local copy so your other devices catch up again.
What happens if I don’t renew my subscription?
Your content is not lost.
If you don’t renew, cloud sync and paid collaboration features stop, but you can keep using Ubimate locally on your device and export your data any time. There is no lock-in.
How do synchronization and collaboration work if the server can’t read my data?
Conflict-free Replicated Data Types (CRDTs) — specifically the Yjs library — let multiple clients merge edits without a central coordinator that understands the content. The server relays encrypted Yjs update blobs between peers. It never needs to parse or understand the content to provide convergence.
Each workspace has its own content key, generated on the owner's device and never transmitted in plaintext. Every user also has an asymmetric keypair derived locally from their passphrase — it never leaves your device. Inviting a collaborator means sealing the workspace key inside an encrypted envelope addressed to their public key and delivering it out-of-band via an email deep-link — the server is never handed the invitation payload to relay or store, so a compromised backend cannot intercept key material, enabling genuinely zero-knowledge, end-to-end encrypted collaboration.
What platforms does Ubimate support?
Ubimate is available as a native desktop app (macOS, Windows) and a web app .
The desktop client acts as your primary local-first hub, running on an embedded local SQLite database. By contrast, the web application is built for secure, flexible access: it decrypts data entirely within temporary browser memory and never stores data locally by design. This ensures that if you access your workspace or join a session as a guest on an untrusted or public machine, you leave absolutely no data footprint behind.
Can I self-host the sync server?
Yes. The Ubimate backend is open-source on GitHub. You can run the full sync and collaboration stack — Express, Hocuspocus (real-time Yjs relay), and SQLite — on your own server with a single docker compose up.
Self-hosting gives you complete control: your data never leaves your own infrastructure, and no subscription is required. Point the desktop app at your server URL and everything works exactly as it does with the hosted service.
Can I export my data?
Yes. Pages can be exported to clean Markdown files at any time. You own your data and can move it any time — no lock-in.
Databases export as CSV, so your structured data drops straight into spreadsheets like Excel, Google Sheets, or Numbers for easy reuse, filtering, and analysis.
Thanks to the built-in HTML mirror, you might not even need to export at all: your content is continuously mirrored as plain HTML. HTML is the perfect format not just for the permanence and indexability of your information, but also for reuse — paste it straight into word processors like Word or Google Docs, share it on the web, or archive it for the long term.
